Is this calculator a real quote or just an estimate?
It’s an estimate. It’s meant to give you a fast, directional view of what an outage could cost based on a few key inputs, not a formal assessment or guaranteed number.
What counts as “downtime” (total outage vs partial slowdown)?
Downtime is any period where a critical system is unavailable or so degraded that work stops or slows to a crawl. A full outage is the obvious case, but a “half-working” system can still create meaningful loss if it blocks core workflows.
How should we estimate “employees impacted”?
Count the people who cannot do their normal work without that system. If only part of the team is blocked, use a realistic subset rather than your full headcount. When in doubt, run it twice: once for a smaller group and once for a worst-case scenario.
Why does it ask for average salary, and what does “salary + overhead” mean?
The calculator uses salary to estimate the productivity cost of people being stuck, waiting, or redoing work. “Salary + overhead” means labor cost is more than wages alone, so the estimate accounts for the real cost of staff time.

How do we choose revenue-generating hours (2,000 vs 8,760)?
If you run standard office hours, 2,000 hours per year is a common assumption. If you operate 24/7, use 8,760 hours per year so the revenue impact reflects always-on operations.
What does “rework cost” represent?
Rework cost is the “we have to redo it” portion of downtime. It estimates the operational cost of recreating lost work and re-entering or reconstructing data after an incident, especially when data loss occurs between backups.
How does backup frequency affect the result?
In general market terms, shorter backup intervals reduce potential data loss and rework. Longer intervals increase the amount of work you may need to recreate after an outage. This calculator captures that through the “time between current backups” input.

First, double-check the inputs (employees impacted, salary, revenue, and backup interval). Then run a best-case and worst-case range to bracket reality. The goal is not a perfect number, it’s clarity on where reliability improvements will pay back fastest.
